Can I record and store archives of my meetings?
Yes. With The Meeting Place, you can record your meetings for
access at a later date. Participants who are not able to attend
the live meeting can tune in at a time that's convenient for them.
Please note that recording and archiving incurs additional
charges.
How do I record my audio call?
Press *17* to record.
As an administrator, should I register on behalf of my department
or will there be one registration per country?
Yes, you can register personally and on behalf of the group you
support. There will not be one registration per country as costs
will be recharged back to the cost centre level.
Will participants be able to dial into a local number to access
the meeting, regardless of their location?
All the participants will dial the host's Meeting Place number,
which is usually a local number issued in the host's country.
I'm currently using a conference call provider that supplies a PIN
code for both participants and moderators. Is this the case with
The Meeting Place?
No. Only the moderator needs a PIN to use The Meeting Place.
Participants simply dial in using the Meeting Place number
supplied to them by the moderator.
What if I forget my PIN code?
Call your Customer Support. After verifying the identity of the
chairperson, they will provide you with your PIN code.
How many people can participate in a conference call?
Each account can handle up to 100 participants. However, customer
service will generally set up the account with 30 participants
unless otherwise requested.
Do I need to make a reservation?
No, you can use your Meeting Place number at anytime 24 x 7. There
is no need to make a reservation once your subscription is
activated.
What happens if I don't press *9* to disconnect the call?
Most of the time this will not be a problem. However, on occasion
lines don't fully disconnect and remain active on the conference
call after everyone else has disconnected. For security reasons
however, it is recommended that the Host always press *9* before
disconnecting if he does not want anyone to remain in the room
after he/she disconnects.
I am the host and entered my PIN code but I am still listening to
music.
The host must press the * key on their telephone keypad before and
after the PIN code (for example, *1234*). The system will only
register what you enter between the * key, before and after the 4
digit PIN code. Therefore the first * should be pressed firmly. If
you still cannot enter the room, contact your customer support
representative for further assistance.
How do I dial-out to an international party?
You can dial-out to an international participant from the Meeting
Place conference room to another country:
- To dial-out to a domestic participant just enter *telephone
number*.
- From Europe or Asia Pacific: Press *IDD + country code + area code
+ telephone number*
There is noise, music, or echo in my conference. Who can help me
with that?
Noise in the conference can come from a variety of sources. Cell
phones and speakerphones are a common culprit. Another common
source of the problem could be a bad line connection from one of
the callers. As the host you might want to ask your participants
to pick up the receiver if they are on a speaker phone, dial in on
a land line if they are on a cell phone or have the participant
hang up and dial back in again. If the noise began right after a
particular participant entered the conference room, you can press
*2* to disconnect that last incoming line. Individual participants
with noise on their line can activate self mute, by dialling * 6 *
.
You may also contact customer support for further assistance in
isolating the offending line.
I am a participant. Our company has issued us individual
pass-codes for the conference. When I call the number and I enter
my pass-code I still hear only music.
Even though you have participant pass-codes for the conference
call this will not give you access to the room until the moderator
enters the room and opens it up. The purpose of the digicode
function is so that the moderator of the call may have further
identification of the incoming participant. It is a security
feature but anyone with an individual digicode will still not have
access to the conference room until the moderator enters the room,
opens the door and activates the digicodes by pressing *PIN + 70*.
How do I get my own Meeting Place Number?
A. To obtain your own Meeting Place number, please order online,
or contact us.
If the host of the conference disconnects will that automatically
disconnect everyone else?
No, it will not. If the moderator does not press *9* before
disconnecting, then anyone who stays on the line will be able to
continue with the conference call.
Can the participants talk to each other before the Host dials in
for the conference?
Anyone who dials in before the moderator will be in a "waiting
room" listening to music until the moderator opens access to the
room. The participants will not be able to hear each other or know
if anyone else is waiting as well.
